The Senior Director leads and directs the areas of Institutional Events, Communications, Stewardship, Digital Media, External Affairs and Special Initiatives. This position will create, plan, organize, and direct high-visibility events and programs that support the goals and objectives of Penn Medicine. Penn Medicine includes the Perelman School of Medicine and the Health System, currently comprised of: HUP, Penn Presbyterian, Pennsylvania Hospital, The Chester County Hospital, Princeton Health and Lancaster General. The Senior Executive Director of Communications and External Affairs will report to the Chief Executive Director of Operations. This position works directly with the senior management team of Penn Medicine Development and Alumni Relations to advance our strategic goals which are critical to achieving our objectives. Leads and directs the communications and stewardship efforts of the office in both print and digital format. Leads and directs all aspects of digital media including mass email use and PMDAR social media. Member of the CAO leadership group.

The position supervises a staff of 15 with 4 direct reports.

The Senior Director works with the Office of the President, Office of the Dean, Vice Dean, Office of the CEO, Chief Advancement Officer, senior fundraising staff, Department Chairs, Center and Institute Directors, volunteers, donors and development staff to manage stewardship events, cultivation events, major institutional and departmental events as well as signature paid fundraisers, sports events, galas, building openings and celebratory events.

The Senior Executive Direct leads and directs the team responsible for the digital media for Development and Alumni Relations. These responsibilities include but are not limited to: website design and oversight, online event registrations, electronic invitations, mass email design and execution, monthly digital newsletters such as Pulse, social media such as Facebook, Twitter, Instagram and emerging tools.

The Senior Executive Director directly staff’s the dean’s and CEO’s spouses by managing their Penn Medicine Events schedule, providing briefing materials and advising. Also handles all personal requests and questions.

This role serves at the main contact with UPHS Marketing, Public Relations and Government Affairs.

Specific Responsibilities

1. Constructs strategy with senior development fundraising staff regarding the effective use of events and programming to identify, cultivate, and steward prospects and alumni in support of Penn Medicine’s campaign objectives.
2. Plans and executes major institutional and departmental events for Penn Medicine including ground breaking ceremonies, new building dedications, alumni events and alumni specialty receptions hosted by the CAO, Dean, Vice Dean and CEO, etc.
3. Leads and directs the communications efforts of PMDAR including Impact, The Dean’s Letter, Pulse, The Dish and Development Matters, remarks, proposals and additional collateral as requested.
4. Lead and direct stewardship efforts for 1M+ donors, annual scholarship/prize fund stewardship and acknowledgement letters for the dean at 10K+ level and all Dean and CAO correspondence needs as requested.
5. Interacts with, medical school and health system leadership on a regular basis to coordinate their participation in events and at times works with Office of the President and Office of the Provost on event logistics.
6. Responsible for coordinating External Affair efforts with UPHS Marketing, PR and Government Affairs on behalf of all PMDAR.
7. Manages issues related to senior leadership (Dean, Vice Dean, President of the University, CEO of UPHS, etc.) attendance at both internal and external events.
8. Lead and direct PMDAR digital media efforts and coordinate these efforts across campus.
9. Develops and implements policies and procedures needed to support the efficient use of institutional event resources and Develops and maintains detailed guidelines and protocol for appropriately managing events.

10. Management
Lead and direct a staff to achieve optimum results by:
* Communicating financial and key performance indicators and results to staff members
* Establishing priorities and goals for all staff.
* Managing staffing needs and identifying areas for organizational development updates or changes
* Guiding the talent identification and professional development needs, processes and outcomes within the entire unit in line with the University’s diversity and inclusion priorities
* Setting clear performance expectations and holding staff accountable for outcomes through frequent feedback and coaching
* Ensuring open communications among team members, engaging in team building efforts and holding regular staff meetings that embrace and support the group’s diversity
* Inspiring and motivating staff to achieve optimum results

1. Bachelor’s degree required.
2. Seven to ten years of experience in alumni relations, special events, or development, higher education administration, health system administration and fundraising.
3. A proven track record in planning and managing special events from conceptualization to production.
4. Experience in dealing successfully with high profile individuals including business or institutional executives.
5. Excellent interpersonal communication skills, strong organizational skills, and an ability to manage multiple tasks and projects under deadline.
6. Travel required and valid driver’s license.
