Job summary

Lead all aspects of the Council’s in-house programs by ensuring core operational and logistical needs are executed seamlessly and with a high level of professionalism. Work with Practice Managers (subject matter experts) to provide consistently well-produced, detail-driven and tactically useful experiences for both in-person and virtual participants.

Over time (once incumbent has experience in the position), turn Public Affairs Council events into experiences. Help increase program attendance and revenue.

Principal functions

  • Lead execution of the Council’s in-house events:
    • Ongoing
      • Manage event production timelines and deadlines, including agenda books and event web pages
      • Communicate with speakers on event information, book prep calls
      • Manage relationship with the Council’s tech contractor (currently MXPI) to ensure positive user experience with virtual programs and manage A/V issues as they arise
      • Develop and produce all related program materials provided to attendees at Council events in conjunction with practice team colleagues
    • Day of event
      • Oversee and coordinate all operational details, including room set-up, catering and technical needs, and on-site customer service
      • Manage and troubleshoot the webinar platform in real time; coordinate with MXPI to ensure seamless incorporation of virtual presenters
  • Work closely with team members to prepare, execute and grow the Council’s major conferences and off-site events:
    • Coordinate with the Council’s contract events manager and practice managers on the preparation and execution of the Advocacy Conference, National PAC Conference, State and Local Government Relations conference, Public Affairs Leadership Workshop and Digital Media Summit
    • Secure locations for and execute all Council events held off-site throughout the Washington DC area
    • Coordinate with the Manager, Board Relations to help execute the Public Affairs Institute
  • Grow participation in and professionalism of Council events (in-house and offsite conferences):
    • Work with Marketing and Communications to schedule, develop and oversee the email marketing process for Council workshops; recommend and implement new strategies for audience development
    • Maintain cross-training in registration database to provide support as needed
    • Help develop, lead and grow sponsorship efforts for the Council’s in-house programs

Knowledge, skills and abilities

  • Demonstrated attention to and awareness of details is a must
  • Entrepreneurial spirit, creativity, enthusiasm and strong problem-solving skills, with an interest in defining the future of the profession
  • Excellent communication written (eg: agenda books, correspondence with participants and vendors) and verbal communication skills
  • Ability to establish priorities, work independently, balance many projects at one time and meet deadlines and objectives with limited supervision or administrative assistance
  • Ability to be successful in a work environment that is team-oriented, customer-focused and non-partisan; also must be comfortable in an environment that encourages open dialogue in both staff and member communications
  • Ability to build strong relationships with internal and external individuals and groups
  • Sound judgment and leadership, often without complete information

Minimum qualifications

  • Bachelor’s degree or professional certification is desirable (not necessarily in a related field)
  • Two to three years of direct event experience; additional familiarity with corporate and/or association public affairs a plus
  • Experience working successfully with senior-level executives and audiences
  • Program management and event planning/consulting experience; project management certification or training desirable
  • Must have the ability to travel to domestic events and provide support at large conferences
