Media Relations Communications Specialist
Executes media relations and internal communications for the health system. Responds to media inquiries, schedules interviews, arranges and plans media events and visits, and serves as a staff writer and editor. Writes press releases and proactively pitches news stories to various media and provides follow-up. Performs other duties as needed in the Marketing Department to promote the health system including assisting with events as needed. Serves in editing and/or writing capacity for various publications produced by the Marketing Department. Produces weekly newsletters and internal communication materials for the health system and follows set guidelines for approval on all written communication. Assists other departments with communications projects.
PRIMARY JOB RESPONSIBILITIES AND DUTIES:
Working with the manager, initiates and controls the flow of public information and access to the media and other external audiences. This involves research, interviewing, writing, editing, speech writing and/or interaction with all types of media, local, regional, and trade industry press as required. Notifies the Manager of all media inquiries and seeks counsel on actions to be taken.
Initiates contacts with media representatives to maintain a working relationship; initiates story ideas or campaigns to sell to the media and responds to requests from the media. Tracks and follows all inquiries and the result of media interaction with our staff. Plans seasonal or periodic campaigns for stories. Helps plan and manage media and community relations events. Exercises judgment in responding to media inquiries with special attention to timeliness, appropriateness and accuracy of response. Submits monthly reports with number of media contacts, press releases, placements and value of coverage. Serves as the liaison between patients, physicians and staff and members of the media, always securing mandatory consent.
Maintains a variety of internal contacts as sources for media stories. Maintains database of media contacts and internal sources, their contact information, and their areas of expertise.
Responsible for the daily review of selected local, regional and national media outlets; daily morning update with the department Manager to provide a summary and alert of news that may require an immediate response by the health system or be shared with senior leaders.
Edits and produces weekly newsletter for colleauges and physicians and prepares materials for the health system and hospital leadership and follows set guidelines for approval on all written communication. Supports other departments with communications projects.
Ensures that media are kept informed of key events and developments as determined by the health system leadership. Produces press releases, talking points, position statements, brochures, flyers, videos, film, photos or voice tapes as required. Meets with the media regularly to maintain good relations and arranges tours of the health system to increase awareness of our services, etc.
Assists in editing materials from other departments as requested.
Assists Public Information Officer (PIO) during a crisis by coordinating with Incident Command System to distribute information to public internal network, as needed, and participates in planning and training exercises and drills.
Serves on various project committees as a representative of the Marketing Department and assists with internal colleague communications.
REQUIRED KNOWLEDGE, SKILLS AND ABILITIES:
Bachelor’s degree in Communications, Journalism, Marketing or English 3-5 years of communications experience in health care, medical, science or pharma industries. Must demonstrate creativity, strong writing, editing, grammar and proofreading skills and provide well-crafted writing samples. Proficient in AP style. Strong organizational skills and ability to work independently, under pressure, meet tight deadlines, deliver error-free work and collaborate with the entire team in a fast-paced environment is essential. Strong interpersonal client relationship skills are vital as the position works closely with internal clients to develop content and gain approvals from medical experts and clinicians, executives and administrators Experience in media, marketing and/or communications required. A great attitude, strong aesthetic senses in design, visual mediums including video and TV, a creative mind and team spirit are keys to success. Must demonstrate an active use and understanding of the full spectrum of digital marketing platforms. Weekly media relations on-call duty on a rotating basis is required.
Bachelor’s Requires the knowledge of theories, principles and concepts normally acquired through completion of a Bachelor’s degree in Communications, Journalism, Marketing, Public Relations or a closely related field. Requires five to seven (5-7) years of work experience as a public relations professional in a position that utilizes standard journalistic interviewing, research, editing and writing skills.
Requires the analytical ability to collect information from diverse sources, including web-based research and other standard research tools. Requires the ability to apply professional principles in performing various analyses and the ability to summarize general and specialized information and data.
Requires advanced interpersonal, communication and negotiation skills, discretion, an understanding of privacy laws and a demonstrated ability to work with sensitive information and maintain strict confidentiality. Must work as a team player with excellent customer service, interpersonal, verbal and written communication skills. Must be detailed oriented.
Requires knowledge of health care industry, trends, issues and current challenges with an understanding in marketing principles.
Requires ability to use office-based, windows computer systems.
- Working knowledge of photography and basic use of a camera is helpful
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
Physical & Mental Requirements & Working Conditions
- Familiarity working in project management systems such as ActiveCollab or Basecamp helpful
- Position is partially remote and requires working at least three days on site at Loyola Medicine.
- Position operates in a typical office environment. The area is well-lit, temperature-controlled and free from hazards. Incumbent communicates frequently, in person and over the telephone, with people in a number of different locations on technical issues.
- Manual dexterity is needed in order to operate a keyboard. Hearing is needed for extensive telephone and in person communications.
- The environment in which the incumbent will work requires the ability to concentrate, meet deadlines, work on several projects at the same period and adapt to interruptions.
- Must be able to set and organize own work priorities and adapt to them as they change frequently.
- Must be able to work concurrently on a variety of tasks/projects in an environment that may be stressful with individuals having diverse personalities and work styles.
- Must be able to travel to the various Loyola Medicine sites as needed.
