Position Summary

Meals on Wheels America is looking for a collaborative, detail-oriented Marketing Project Planner to oversee a growing team’s workflow efficiency. Reporting to the Vice President, Marketing, and working closely with the rest of the Marketing team, as well as the Communications, Development, and Membership teams, this position will oversee all multiplatform projects through their life cycle and ensure all projects are fulfilled on brand and on time.

The position reports to the Vice President, Marketing, and is an Arlington, VA-based, flexible hybrid working role. There is no weekly in-office requirement; however, the ability to visit the office as needed is required.

Duties and Responsibilities

Planning and Execution

  • Plan, organize, and execute projects and deliverables across marketing for work such as, but not limited to:
    • Managing the annual Marketing calendar across Awareness, Engagement, and Fundraising campaigns, as well as smaller efforts.
    • Ensuring annual Marketing calendar items are planned for by social, email, website, and other channel leads.
    • Tracking down assets, approvals, and trafficking finished assets to agency and business partners and to the Digital Asset Management system (Brandfolder).
    • Tracking project performance, ensuring timely completion, and regularly sharing project updates while flagging potential issues.
    • Proactively identifying upcoming project needs and managing other departments to anticipate and request work in a timely fashion.
    • Assisting the Brand Manager + Graphic Designer with the creation of regular templated creative work as needed.
    • Securing bids/estimates from vendors/freelancers as needed.
    • Reviewing team’s work as a final quality check for details, including dates, links, logos, and spelling.

Process and Workflow

  • Creating a work request/intake form and broader process for business partners to request work and flow through the department.
  • Helping to create standard deliverables lists and SOPs for campaigns and efforts at different levels.
  • Researching and recommending workflow/project management tools for the Marketing team; leading implementation of the chosen tool.
  • Evolving and improving processes/workflows based on learnings.
  • Other duties as assigned.

Qualifications and Skills Required

  • 3+ years of experience in agency/production/managing project deadlines and a Bachelor’s degree, or 5+ years of experience in agency/production/managing project deadlines.
  • Experience working in project management with a range of stakeholders in a matrixed environment.
  • Advanced knowledge of Microsoft Office, Adobe Suite, DAM, and project management systems.
  • Demonstrated ability to establish and implement efficient and effective work processes with a wide variety of stakeholders.
  • Proactive problem solver who can handle multiple tasks and set priorities while working in a dynamic environment.
  • Exceptional communication skills (written and verbal) to a range of audiences and knowledge levels.
  • Demonstrated independent judgment to know when to escalate and anticipate issues or dependencies, including project blockers, technical risks, and team dynamics.
  • Effective listener who engages with stakeholders to ensure expectations are being met.

Pay Range

$66,500 – $69,500 per year
