## Position Summary

The Coordinator, Advocacy Operations, provides essential administrative, logistical, and program support to the American Podiatric Medical Association’s (APMA) Advocacy, Health Policy, Coding, and APMAPAC functions. This position supports APMA’s federal and state legislative and regulatory advocacy efforts, payer relations initiatives, grassroots mobilization, and political action committee (APMAPAC) activities. The position also assists with health policy and coding activities, responding to member inquiries and supporting the Coding Resource Center.

## Key Responsibilities

### Advocacy Program Coordination

– Provide logistical and administrative support for APMA’s advocacy initiatives, including advocacy conferences, congressional fly-ins, grassroots campaigns, and coalition meetings.
– Coordinate event logistics, including invitations, registration, schedules, participant communications, and materials preparation.
– Support the development and distribution of advocacy materials such as fact sheets, action alerts, issue briefs, and social media content.

### Health Policy and Coding Support

– Provide administrative support to the Health Policy and Practice team by organizing information, maintaining databases, and assisting with projects related to Medicare, Medicaid, and private payer policies.
– Format, proofread, and distribute coding guidance documents, payer letters, FAQs, and member communications as directed by staff, ensuring materials are accurately stored and disseminated.
– Log and route member inquiries to appropriate staff and assist in maintaining accurate records of responses.
– Provide technical support for APMA’s Coding Resource Center, including updating website content, assisting with subscriber registration, and responding to customer support inquiries.
– Support staff in preparing background materials for health policy and payment initiatives, including the Medicare Physician Fee Schedule, regulatory proposals, and payer advocacy efforts.

### APMAPAC Administration & Compliance

– Provide administrative support for APMAPAC fundraising and donor engagement activities, including tracking contributions, processing acknowledgments, and maintaining accurate donor records.
– Assist with the planning and logistics for APMAPAC events and campaigns, including raffles, mailers, and targeted outreach initiatives.
– Maintain the APMAPAC database and prepare regular contribution and disbursement reports for staff and volunteer leadership.
– Support staff in preparing federal financial and compliance reports required by the Federal Election Commission (FEC), including timely data entry, reconciliation, and document retention.
– Work with finance staff to ensure contributions and disbursements are accurately recorded and comply with applicable FEC regulations and APMA policies, including timely filing of required reports and disclosures.

### Administrative & Departmental Support

– Provide scheduling, calendar management, and meeting logistics for the Advocacy and Health Policy teams, including coordination with congressional offices, federal agencies, payers, state societies, and committees.
– Draft and distribute meeting agendas, take meeting notes, and track follow-up items.
– Process invoices, expense reports, and assist with budget tracking for departmental activities, including APMAPAC.
– Provide administrative support for the preparation and distribution of advocacy and health policy updates, newsletters, and board and committee materials, including formatting documents, coordinating approvals, and organizing final files.
– Assist with updating and maintaining the advocacy, policy, and practice management sections of the APMA website.

## Required Skills and Qualifications

– Bachelor’s degree in political science, public policy, health policy, communications, or a related field; or equivalent combination of education and relevant experience.
– 0–2 years of relevant work experience in advocacy, health policy, political action committees, government relations, or nonprofit administration (internship or fellowship experience welcome).
– Strong organizational skills with keen attention to detail and the ability to manage multiple tasks simultaneously.
– Excellent written and verbal communication skills.
– Proficiency with Microsoft Office Suite; familiarity with advocacy platforms and PAC compliance software (e.g., Aristotle).
– Interest in legislative processes, political engagement, health policy, and nonprofit compliance.
– Ability to work collaboratively with staff, volunteer leaders, consultants, and external stakeholders.
– Professionalism, discretion, and a proactive, service-oriented mindset.

## Pay
$60,000.00 – $70,000.00 per year
