## Position Summary

The Council Relations Manager is an integral member of the US Council Engagement team, responsible for managing the planning, quality, and execution of Council meetings for a portfolio of 8–10 Councils with a value of $1 million in membership fees, and ensuring a flawless and high‑impact experience for all Members.

## Accountabilities

### Council Meeting Management

– **Plan and prepare** to ensure precise logistics for Council meetings, partnering cross‑functionally as needed, resulting in a high‑quality Member experience.
– **Manage the entire meeting experience** including facility setup, vendor coordination for food, beverages, accommodations, transportation, AV/tech support, materials, and hospitality/entertainment. Meeting formats include TCB offices, Member facilities, hotels or public venues, virtual meetings, and hybrid meetings.
– **Collaborate with Senior Manager** to secure hotel accommodations, meeting space, restaurants, group activities, and ground transportation.
– **Ensure meeting materials** meet TCB standards and are delivered per timeline and channel (12/8/4, Communities).
– **Communicate Member issues** with CRE and Program Director and proactively manage resolutions.
– **Track attendance** and Member feedback.
– **Manage cost forecasts** and execute each meeting within budget.
– **Attend meetings** on‑site in NY as needed; attend remote meetings ad hoc.
– **Seek process improvements** to enhance the Member experience.

### Member Retention Support

– **Track engagement** and retention metrics in CRM (Sugar) for at‑risk, new, replacement, Center affiliates, and previous Members.
– **Identify at‑risk Members** and work with Program Director and CRE on retention or replacement plans.
– **Report engagement data** using TCB systems.

### Assist Council Relations Executive and Program Directors

– **Support proactive engagement** to ensure each Member fully participates and leverages their Council seat.
– **Help develop content plans** connecting TCB resources to Members’ business needs.
– **Ensure written communication** (agendas, etc.) is high‑quality and engaging.
– **Provide Member feedback** promptly to support analysis and continuous improvement.
– **Assist with discussion highlights** to ensure insights are captured and shared. Program Directors write highlights.

## Qualifications

– Bachelor’s degree required.
– Minimum 2–3 years’ work experience, preferably in a customer‑facing role.
– Strong time management skills and ability to manage multiple priorities in a dynamic environment.
– Strong oral and written communication skills.
– Outstanding organizational skills and attention to detail.
– Hospitality or event management experience is a plus.
– Strong team orientation.
– Naturally curious and a quick, agile learner.
– Sociable and service‑oriented.
– Ability to handle unexpected situations professionally.
– Ability to adapt to and initiate change in a fast‑paced, agile environment.
– Working knowledge of MS Office products.
