Overview
The Future Society (TFS) seeks a highly organized and motivated professional to join our team as Events and Community Manager. The primary focus of this role will be planning and running our annual flagship event, The Athens Roundtable on AI and the Rule of Law, as well as organizing other convenings throughout the year such as workshops, virtual events, and working groups.
This senior role offers the opportunity to manage high-profile events, shape our coalition-building strategy, and build relationships with key stakeholders in the AI governance space. As Events & Community Manager, you will leverage your event organization experience, project management expertise, and stakeholder engagement skills to advance TFS’s mission of aligning AI through better governance.
Responsibilities
The Athens Roundtable on AI and the Rule of Law
Act as the project manager for our annual flagship event. Responsibilities include:
- Project Management: Create a comprehensive plan, coordinate team members, track progress, ensure milestones are achieved, and address issues promptly to keep the event on track.
- Strategy: Develop the overall vision and strategy for the event in partnership with our Director of Global AI Governance.
- Logistics: Oversee event logistics, including venue management, liaison with co-hosts, equipment setup, catering, event live streaming, and coordination of on-site staff to ensure a seamless experience for in-person and online audiences.
- Agenda: Oversee the development of the agenda and work with the AI Governance team to drive the vision for sessions and provide briefings for speakers and participants.
- Stakeholder Management: Map stakeholders, plan and oversee the invitation process, nurture high-profile relationships within TFS’s extensive network, provide a high-touch experience for attendees, track RSVPs, and ensure prompt follow-up.
- Budget: Create the event budget in partnership with senior leadership, approve expenditures, and track spending.
- Communications: Work with the Head of Communications to create and execute the event communications plan, including strategy, messaging, promotional tactics, photography and video, media outreach, branding materials, and post-event content.
- Production: Manage event production.
- Fundraising: Participate in fundraising processes and activities relating to events.
Additional Responsibilities
- Conceive, organize, and facilitate additional events (online and in-person), community-building efforts, and stakeholder engagement activities throughout the year.
- Coordinate with AI governance staff to ensure that event content aligns with TFS’s mission and the current needs of the rapidly evolving AI governance space.
- Independently manage project timelines, budgets, and resources for successful execution of events.
- Contribute to TFS’s overall stakeholder engagement and partnership strategy.
We anticipate that The Athens Roundtable program will require approximately 50% of your total working hours from January through July, alongside other responsibilities, and 100% of your time from August through December each year.

- Exceptional project and people management skills.
- Experience managing contractors and vendor relationships.
- Excellent interpersonal skills and ability to navigate relationships with high-profile individuals and diverse stakeholders.
- Strong communication skills, both written and verbal, with the ability to adapt to varying audiences.
- Attention to detail, proactivity, resourcefulness, and adaptability.
- Ability to work independently and collaboratively in a remote environment.
- Willingness and ability to travel internationally two to three times per year, and potentially more if required.
- Full professional working proficiency in English.
Preferred
- 5+ years of event management experience.
- Understanding of the AI landscape, including key institutions and policy issues, and familiarity with key AI actors.
- Prior experience in the AI governance or technology policy space.
- Experience running online events (hybrid events, livestreams of in-person events, and online-only events) and building event audiences.
- Work location from Pacific Time to Eastern Time preferred.
Compensation
For U.S.-based candidates: $104,600–$113,800 depending on location.
For candidates based outside the U.S.: $94,200.
TFS uses a formulaic salary structure and does not negotiate compensation on an individual basis.

Evaluation Process
- Stage 1: Screening Interview with Operations (30 minutes).
- Stage 2: Interview with Director of Global AI Governance, Niki Iliadis, and Mai Lynn Miller Nguyen, Head of Communications (1 hour).
- Stage 3: Work Test.
- Stage 4: Interview with Executive Director and Senior Leadership (1 hour).
