The Sr. Specialist will support and advise the External Affairs Federal & State Government Affairs teams in performing critical compliance, budgeting, financial and monitoring activities.

Your ‘day to day’:

  • Support the Federal & State Government Affairs team by identifying & executing PMI policy requirements (e.g., 14-C) related to the team’s work and organizing the submission and approval of necessary legal, compliance or other authorizations. The Sr. Specialist will also monitor and report on the approval process of their respective submissions, coordinate with applicable reviewers, and update internal stakeholders.
  • Monitor budget lines and seek necessary approvals to execute hundreds of monetary contributions such as general support, sponsorship fees, membership dues, and other event-related support. This will require timely, effective coordination with Legal and Compliance, Billing, and the Vendor Management team.
  • Support the teams’ contracting requirements, vendor creation, invoicing and payment activities as it relates to consultants and third-party stakeholders (e.g., business chambers, retailer associations, & think tanks) by serving as the EA point person with Vendor Creation, Procurement, Billing, and Finance.
  • Serve as the primary point of contact with Finance on a day-to-day basis for the team budget/s, both operating budget (OB) and financial quarterly (RF) exercises, and provide the VP and Director/s timely updates when applicable. This will include discretionary and travel & expense spending.
  • Build and maintain operational tracking mechanisms.
  • Support strategic financial and operational reports to achieve alignment and identify trends.
  • Assist in regular strategic policy and process reviews to draft and execute changes where appropriate to drive sustainable operations. Identify operational inefficiencies and areas for opportunity in coordination with finance, billing, legal and compliance.
  • Support critical external engagement with stakeholders in targeted U.S. regions where applicable. Responsible for effective event coordination and external engagement efforts where applicable.
  • Serve as lead operations mentor to new hires within EA Operations and EA State Gov’t Affairs including but not limited to new vendor registration practices, payment execution standards, consultant onboarding processes, budget alignment, contribution 14-C review and billing requirements.
  • Other tasks that may be needed by the function.

Who we’re looking for:

  • Bachelor’s Degree with a minimum of five years’ experience.
  • Ability to understand the Government Affairs teams’ objectives and translate those requirements over to executing internal operations & PMI requirements.
  • High level of written & oral proficiency in English.
  • Natural ability to independently build and maintain sustainable mechanisms, problem solve, look around corners and drive operational effectiveness.
  • Ability to present updates, challenges, and solutions in a clear and concise manner with leadership, partners, & peers, along with external stakeholders.
  • Ability to perform multiple tasks under pressure and time constraints.
  • Legally authorized to work in the U.S.
  • Knowledge & experience with operating systems such as COUPA & SAP are a plus.

Annual Base Salary Range: $99,000–$132,000

PMI’s smoke-free product portfolio includes heat-not-burn and nicotine-containing vapor products.

As of September 30, 2022, PMI’s smoke-free products are available for sale in 70 markets in key cities or nationwide, and PMI estimates that approximately 13.5 million adults around the world, excluding Russia and Ukraine, have already switched to IQOS and stopped smoking.
