Grassroots Advocacy Program Support

Coordinate and provide administrative support within all facets of the Grassroots Advocacy program, including:

  • Planning and execution of in-District campaigns
  • Event production for fly-ins
  • New advocate recruitment at Chapter events
  • Social media engagement
  • Regional relations
  • Use of technology, CRM entry
  • National Diabetes Awareness Month (NDAM)
  • National Volunteer Appreciation Week (NVAW)
  • Youth Advocacy Leaders Program (YAL)
  • Young Adult Advocacy Council (YAAC)

The Senior Coordinator will work closely in support of and collaboration with the Grassroots Advocacy team in carrying out these responsibilities. This person will be thoroughly trained to understand our mission, department activities, goals, operations, policies, and procedures to perform all duties.

Responsibilities

  • Support all ‘Advocacy at Events’ efforts, collaborating with colleagues to plan for new advocate capture/workflow ahead of our peak seasons (Fall & Spring), ensuring process improvement and data integrity.
  • Support the mailing of new advocate recruitment materials for Walks, Summits, Galas, Rides, and other related events. Also, support the needs of Field staff and volunteer leadership.
  • Manage assigned regions, communicating and partnering regularly with Field staff and volunteer leaders to ensure they are supported throughout our campaigns and new advocate recruitment efforts.
  • Support volunteer leaders within our software platforms, including the Advocacy Portal (ADP), campaign websites, and other tools/resources as needed.
  • Disseminate timely updates and activations to Chapter EDs and volunteer leaders, and provide feedback on activation needs/results to Chapter EDs, volunteer leaders, and the Advocacy team.
  • Prepare relevant content for monthly Advocacy Team Chair (ATC) calls and present as needed.
  • Provide overall support for the planning process and execution of Government Day and Children’s Congress.
  • Provide administrative and regional support for the Together We Can campaign.
  • Maintain accurate record-keeping within the organization-wide Salesforce CRM system and Advocacy-specific databases (including the Advocacy Data Portal), written records, and filing systems.
  • Partner with the Grassroots Manager to conduct regular QA testing within websites and platforms to ensure functionality, user experience, and data accuracy.
  • Provide admin support to Grassroots Advocacy staff managing the Youth Advocacy Leader (YAL) program and Young Adult Advocacy Council (YAAC).
  • Support efforts to promote National Diabetes Awareness Month (NDAM) and National Volunteer Appreciation Week (NVAW), including posting on social media as requested.
  • Post social media content with guidance from the Grassroots Advocacy team.
  • Support and collaborate with interns.
  • Assist with daily operations, projects, and tasks in collaboration with the Legislative, Health Policy, Regulatory Affairs, and Global Access teams.
  • Prepare materials, generate reports, update websites, and coordinate meetings and trainings in support of events and campaigns (Government Day, Children’s Congress, Together We Can Campaign, and New Member Outreach Initiative).
  • Update, develop, and edit PowerPoint presentations, Excel spreadsheets, and Word documents for the Advocacy staff as needed, adhering to brand standards.
  • Perform other duties related to clerical and administrative assignments as assigned by a supervisor.

Qualifications

Education:

  • Bachelor’s degree required.

Years of Experience:

  • 2+ years of related experience preferred.

Knowledge:

  • Knowledge of basic clerical procedures, file management, and proficiency in Microsoft Office (Word, Excel, PowerPoint, Forms).
  • Experience using WordPress and Salesforce or another CRM system.
  • Confident in leading administrative procedures—coordinating people and resources, scheduling meetings, producing events, etc.
  • Familiarity with principles and tactics of digital advocacy and social media (X, Instagram, Facebook, YouTube, TikTok, LinkedIn, etc.).

Special Requirements

  • Excellent oral and written communication skills with keen attention to detail.
  • Tech-savvy with the ability to actively listen, anticipate team needs, and apply creative problem-solving skills when necessary.
  • Highly efficient in time management—ability to multitask and prioritize tasks in a fast-paced, deadline-driven environment.
  • Flexible to take on new projects, producing high-quality work for a sophisticated national audience.
  • Ability to confidently interface with staff and volunteers at all levels, pivoting quickly when needed.
  • Commitment to building and maintaining strong relationships.
  • Strong interest in digital coalition-building, grassroots advocacy, and the Federal legislative and health policy processes.
  • Must be present in the DC Advocacy office at least 2 days per week, with increased frequency in the lead-up to events.
  • Some evening and weekend work required during busy periods.

Target Salary:

  • $55-65k base.

The employee must occasionally lift and/or move up to 25 pounds, and infrequently up to 50 pounds. Specific vision abilities required include close vision, distance vision, color vision, peripheral vision, and the ability to adjust focus.

The noise level in the work environment is usually moderate.
