The Legislative Affairs Coordinator (Coordinator) will play a critical role in managing the day-to-day operations of the American Trucking Associations (ATA)’s Capitol Hill office (Hill office). This position is responsible for overseeing office management, coordinating executive tasks, and supporting grassroots program activities and fly-ins. The Coordinator will be tasked with scheduling and managing meetings, events, and activities for ATA and external stakeholders hosted at the Hill office, including political events, coalition meetings, and other advocacy-related efforts.

Key Responsibilities:

  • Act as the primary point of contact for building management company and Hill office tenant, coordinating on office maintenance, parking and operational needs.
  • Oversee all logistics for the Hill office, including coordinating events, meetings, advocacy activities, and general office needs.
  • Collaborate with various ATA departments to ensure seamless coordination between offices and effective communication on projects and logistics.
  • Provide executive support to the Hill Team and Senior Vice President, including coordinating schedules and preparing materials for events and meetings.
  • Support ATA’s Call on Washington fly-in program, including scheduling, materials preparation, and logistics.
  • Assist the Senior Vice President (SVP) with annual budget planning, expenditure tracking, and processing invoices.
  • Manage office supplies, equipment, and general administrative tasks, ensuring the Capitol Hill office is fully operational.

Background Requirements:

Education/Experience:

  • Bachelor’s Degree (BA/BS) required.
  • 2+ years of professional experience, including internships.
  • Experience in trade associations, corporate government affairs, federal or state government, or political campaigns is highly preferred.
  • Event planning and administrative experience is a plus.

Skills:

  • Proficiency in MS Office (Word, PowerPoint, Excel, Outlook).
  • Strong organizational skills and the ability to manage multiple priorities.
  • Attention to detail and commitment to meeting deadlines.
  • Excellent written and verbal communication skills.
  • Strong problem-solving abilities and decision-making skills.
  • Proven experience in negotiating and executing event planning with impeccable organizational capabilities.
  • Ability to develop and maintain relationships with vendors and other stakeholders.
  • Strong interpersonal skills and a desire to work in a collaborative team environment.
  • A general understanding of the legislative process and an interest in learning ATA’s legislative priorities.

Additional Information:

  • This is a full-time position requiring onsite work daily at ATA’s Capitol Office in Washington, D.C.
  • Approximately 10% travel required.
  • No supervisory responsibilities.
