This position is hybrid reporting to our Washington, D.C. office on Tuesdays, Wednesdays and Thursdays.

Major Duties and Responsibilities:

Responsible for day-to-day administration of ICSC’s Washington, DC office, focusing on the Government Relations & Public Policy (GPP) team. Works on weekly basis with Accounting Department at headquarters on accounts payable, assist in budget planning and forecast preparation.
Efficiently and courteously handle normal daily telephone communication and other office visitors; keep up departmental calendar.
Assists EVP, SVP, and other VPs with correspondence, meeting logistics and other duties as assigned.
Assists ICSC PAC Director with administrative duties supporting ICSC PAC, including:

Maintaining accurate recordkeeping for the federal ICSC PAC using PAC software, including recording receipts, processing contributions to federal campaigns, and entering disbursements to ensure compliance with FEC regulations.
Managing the calendar of PAC events and track fundraising activities attended by federal lobbyists.
Coordinating logistics for ICSC PAC events, including RSVPs, catering, materials, and nametags.

Manage legislative and logistical databases for the office using Microsoft Excel, Microsoft Word, Quorum. Support the work of ICSC PAC, Grassroots, Federal, and State & Local teams.
Coordinate with building management on issues such as amenity reservations and logistics, maintenance work, and security.
Assist with vendor/lobbyist contracts for office.
Process incoming mail and route inter-office memoranda and correspondence. Administer GPP FedEx account and assist with shipments periodically.
Files comprehensive quarterly lobbying reports as required by the U.S. Congress.
Maintain an inventory of office and kitchen supplies.
Oversee the maintenance of the office equipment and associated leases/service contracts.
Troubleshoot with IT on Wi-Fi connectivity issues, Microsoft Outlook issues, mobile phone issues, printing issues, and server room mechanics.
Common space upkeep.
Other duties as assigned or approved by the Executive Staff Vice President.

Qualifications

3-5 years prior work experience in office. Desired – familiarity with Congress, campaigns, political fundraising, PAC operations and government relations activities.
Meeting planning experience.
Excellent customer service skills, takes initiative.
Organized and able to juggle multiple tasks simultaneously.
Adept at Word, PowerPoint, Excel and other database management.
Minimum education requirement: Associate degree or equivalent experience.
